A local law firm out of Stockton is searching for an Executive Assistant who will have responsibilities that include calendaring, appointment coordinating, and invoicing. Position is full time, long term!

Executive Assistant highlights:

  • Efficiently manage calendars, diaries, and appointments for arbitrator and clients.
  • Greet and interact with clients/counsel in person, via telephone, email and Zoom.
  • Prepare correspondence and pleadings regarding arbitration and mediation.
  • Coordinate and manage arbitrations, mediations, sessions, and fees.
  • Maintain and organize files, including copies of all documents and correspondence.
  • Manage all accounts receivable for arbitration and mediation cases, accounts payable, invoicing and time management.
  • Manage billing by preparing, finalizing, and sending out invoices, as well as resolving billing issues.
  • Prepare meeting agendas, set up zoom calls, take meeting notes.
  • Other duties as assigned.

What we look for in an Executive Assistant:

  • Minimum 2 years of experience as an executive assistant, legal secretary, or legal assistant.
  • Strong organizational skills with the ability to manage multiple calendars and schedules effectively.
  • Keen attention to detail and accuracy in all tasks.
  • Proficiency in Microsoft Outlook, Word, and Excel.
  • Ability to take direction well and work collaboratively with a team.
